Privacy policy

1. Scope and overview

This policy explains information processing by the StageMate apps and website when providing score management, reading, practice, accounts, sync and sharing. Features differ by platform, version and distribution channel; data associated with an unused feature is not necessarily processed. Please review the camera, AI recognition, cloud storage and deletion sections. Use the contact address below for questions or requests.

2. Information and purposes

• Accounts and authentication: email, user identifiers and authentication information support registration, sign-in and recovery. • Scores and user content: PDFs, images, titles, artists, annotations, Setlists and settings support reading, editing, organisation, export and the sync or sharing you use. Recording features also create audio files you save. • Transactions and access: order identifiers, purchase or redemption status, subscription dates and entitlement records support activation, restoration and verification. The relevant store or payment service handles payment-account or card details. • Usage and diagnostics: feature events, versions, necessary device or installation information, errors and request records support statistics, troubleshooting and operation. • Support: we process the email, description and attachments you choose to send to respond and resolve issues. Avoid unrelated sensitive information.

3. Local libraries, cloud sync and sharing

Scores and settings can be stored locally. Enabling Apple iCloud sync stores and syncs relevant content through your iCloud account. Android account cloud features store library files and related data on servers. Cloud storage retains content; it is not merely temporary recognition in memory. Sharing makes relevant files and information available to recipients. Copies already downloaded, exported or separately saved do not automatically disappear when you delete a file or stop sharing. Only share content you are entitled to share. Disabling sync, signing out, uninstalling and deleting cloud data are different actions. iOS and Android currently provide separate cloud services and purchase access.

4. Camera, facial movements and microphone

• Hands-free turning: with camera permission, eye and head movements are analysed on-device to turn pages, not to identify individuals. Detection does not upload camera frames as scores; temporary frames and results are not retained as facial profiles. • Camera import: photos you save become score images; subsequent sync, sharing or cloud recognition follows those features’ processing. • Tuning and sound analysis: the microphone analyses pitch or rhythm. Deliberate recording creates audio files, so this is not a promise that no audio is ever saved. • Files and photos: items selected through system pickers are processed for import or export. You can revoke permissions in system settings. Related features may stop working; this does not automatically delete existing library content.

5. Score recognition and AI processing

Recognition extracts information such as titles and artists to reduce typing. Some workflows run on-device. Cloud recognition sends relevant score images or required content to a recognition service. Temporary images created for local recognition are released after processing rather than retained as additional recognition copies. Original scores, saved results and cloud library files are managed through your saving, sync and deletion actions; they are distinct from temporary processing data. Some versions automatically extract after import when access and quota permit. Understand your version’s behaviour, only submit content you may process and review results. The statement about not retaining temporary images applies to on-device recognition only. Cloud request records, logs and backups are distinct from local temporary images; see the retention section or contact us about their handling. Android cloud extraction records processing status, extracted metadata, errors and usage counts to complete requests and enforce quotas. These records are distinct from temporary images.

6. Analytics, SDKs and website storage

The Apple app uses Microsoft Clarity for screen visits, feature events and SDK session analysis. Signed-in Android foreground use submits account-linked activity times and app version for active-user statistics; this is separate from Clarity. Android’s Google ML Kit performs recognition on-device. Its SDK also processes model, system and app versions, installation identifiers, performance and error diagnostics. On-device recognition does not mean there is no SDK diagnostic processing. The website uses browser local storage to maintain sign-in. Clearing it may sign you out, but does not delete the server account or library. Cloud operation also processes necessary request and error records.

7. Providers and disclosures

Account and cloud, store and payment, recognition and analytics providers process information needed for the features used. This does not mean every provider receives your full library. The roles of Apple iCloud, Supabase, Microsoft Clarity and Google ML Kit are described in the relevant sections. When you share or pay through external services, recipients and providers process information under their applicable rules. Review the policies of external sites and stores. We respond to valid legal demands as applicable.

8. Retention, deletion and backups

• Local files remain until you delete them or clear app data; system or personal backups may contain copies. • Accounts and cloud libraries are stored to provide accounts, storage and sync. Use available deletion controls or contact us to request deletion. • Transactions and access: deleting an account does not immediately erase store transactions. Verification, refunds, disputes or applicable requirements may require records to remain. • Diagnostics, support and logs are handled separately from library files. Retention and removal depend on the service, record category and backup mechanism. Deleting a score does not mean every related record disappears at the same time; contact us for details. Uninstalling, signing out, disabling sync and cancelling subscriptions are not account deletion. Account deletion also does not replace cancelling renewal through the purchase channel. Individual score-page or annotation deletion schedules related cloud files for cleanup after 30 days, without guaranteeing completion on that day. Whole-account deletion separately attempts to remove designated cloud files before deleting the sign-in account and associated data. 9. Your choices and requests

Within supported features, you can view, edit, export or delete library content, manage permissions and sync, and manage subscriptions through the store. Account controls depend on the platform’s available functionality. Email privacy@stagemate.site to request access, correction, export or deletion of account-related data, or to question or object to processing. Include your platform, account email and request. We may verify ownership to prevent unauthorised access or deletion. Do not send passwords, verification codes or full card details. Required records, copies held by recipients or data independently managed by third parties may limit what can be done; we will explain relevant limitations for your request.

10. Security and processing locations

Account, cloud and online recognition requests use encrypted network connections, with authentication and access controls restricting access. Protect login information and be careful with public sharing. No system guarantees absolute security; contact us about suspected unauthorised access or exposure. Cloud infrastructure and distribution services may process information outside your region. Locations depend on platform and configuration; local storage and cross-region cloud processing are different scenarios.

11. Minors

If you are below the age at which you may independently consent to relevant processing in your location, use accounts, cloud sync, sharing and purchases with a guardian’s guidance. Guardians concerned about information provided by a minor can contact the privacy address with account details and circumstances to request review and appropriate action.

12. Updates and contact

We display the update date here and revise the notice as functions and processing change. Material changes will be communicated through available channels as required. Where separate consent is needed, continued use does not replace it.
